How the migration works

Sign up at OurClubHQ.com. Set up your club profile, meeting schedule, and roles. Takes about 15 minutes.
Invite your members
Add members individually or bulk import via CSV. They’ll receive an invitation email to claim their account.
Import your history
Export your role history from your current platform. Upload the CSV and map your roles. The algorithm immediately understands who did what and when.
Verify and claim your discount
When you’re ready to subscribe, share a screenshot or forwarded email from your previous platform showing at least 12 months of use. We’ll apply your migration pricing.
Common questions
What counts as proof that we’ve been on another platform?
Anything showing your club was active on the platform for 12+ months. A forwarded notification email with a date, a screenshot of your club’s account page, or an exported history file with dates going back a year. We’re not looking for a legal brief – just enough to confirm you’re a real club making a real switch.
Does the 45-day trial still apply?
Yes. You get the full 45-day trial before any payment. Use that time to import your data, invite your members, and run a few meeting cycles. The migration discount applies when you convert to a paid annual plan.
Can we import from a platform you haven’t listed?
Probably. If your current tool can export to CSV – meeting dates, member names, and role assignments – we can likely map it. Reach out and we’ll walk you through it.
What happens after the first year?
Your subscription renews at the standard annual rate of $109/year. You can also choose monthly ($12.50/mo) or semi-annual ($59/6 months) at renewal. No surprises.
We’re a corporate club. Does this apply to us?
Yes, if you’re a Toastmasters club using a scheduling tool today, the migration offer applies regardless of whether you’re community or corporate.
I’m the only officer who cares about this. Can I just try it myself first?
